1. Information we collect about customers and website inquiries

When you contact Inquiry Form, purchase a plan, activate or manage an account, or configure a form, we may collect information you provide such as your business name, contact name, email address, phone number, preferred contact method, business type, website and social links, logo, requested form URL, WhatsApp lead destination, lead-notification email, form-question preferences, special instructions, and related communications.

We may also receive transaction-related information such as order identifiers, plan type, payment status, amounts, taxes, billing status, subscription status, and references supplied by our payment processor. We do not store full payment-card details on our own servers.

Our hosting, security, and application systems may generate ordinary technical information such as timestamps, IP addresses, browser/device information, request logs, authentication events, and error information where reasonably necessary to operate and secure the service.

2. Incoming lead submissions through customer forms

The core Inquiry Form service is designed not to persist a database of the personal information and answers submitted by a customer's incoming leads. When a visitor submits a configured form, the system is designed to independently initiate an email copy to the customer's configured lead-notification address while also preparing or opening a pre-filled WhatsApp conversation to the customer's configured WhatsApp destination.

The receiving business may retain that information in its own email account, WhatsApp account, CRM, device, or other systems. Those systems and the receiving business have their own retention and privacy practices.

Limited operational logs may be retained to identify technical events such as an email-delivery failure, form identifier, error type, or timestamp. These logs are designed not to store the submitted lead answers, message content, or other lead details merely for analytics or CRM purposes.

3. Why we use customer information

We may use customer and website-inquiry information to process purchases, establish and administer customer accounts, provide secure account activation, operate and host customer-configured forms, communicate about orders and service, deliver support, manage billing status and subscription lifecycle, send transactional notices, prevent abuse, troubleshoot failures, maintain security, comply with legal obligations, and improve the reliability of the service.

4. Payments and billing

Payment information is processed by a third-party payment provider. That provider may collect payment-card information, billing details, location information, tax-related information, and other data needed to process payments and prevent fraud. Inquiry Form may receive identifiers and status information needed to connect a payment or subscription to an order, but does not need to receive or store the customer's full card number. The payment provider processes information under its own privacy practices.

5. WhatsApp, email, hosting, and other service providers

Inquiry Form relies on service providers and infrastructure to operate the website and platform, which may include hosting, email delivery, payment processing, security, and messaging services. Information may be processed by those providers where reasonably necessary to perform their functions.

Some forms prepare or open WhatsApp with information pre-filled for the visitor to review and send. When a visitor proceeds to WhatsApp, WhatsApp processes information under its own terms and privacy practices. Inquiry Form does not control WhatsApp's processing.

6. Business customers as recipients of lead information

An Inquiry Form is configured and published for a particular business through the customer account and available platform tools. Information submitted through that form is intended for that business through the configured delivery destinations. The business independently determines how it uses, stores, shares, or deletes information it receives after delivery. Visitors should review the receiving business's privacy practices where applicable.

7. Sharing and disclosure

Inquiry Form does not sell personal information as part of the service described here. Information may be disclosed to service providers where reasonably necessary to host, secure, maintain, bill for, support, or deliver the service; to the business identified by a customer form; when a user directs a transfer through a service such as WhatsApp; in connection with a business reorganization where permitted by law; or where disclosure is required or permitted by applicable law.

8. Retention

Customer, order, billing-reference, onboarding, configuration, revision, security, and activity records may be retained for as long as reasonably necessary to provide the service, maintain business and financial records, resolve disputes, enforce agreements, meet legal obligations, and protect the platform. Different categories may require different retention periods.

For a Monthly account suspended after unresolved payment failure or the end of a paid cancellation period, form configuration may be retained for up to 60 days to allow recovery before it becomes eligible for deletion. Financial or other records that must reasonably be kept for legal, tax, accounting, fraud-prevention, or dispute purposes may be retained longer even if a form configuration is deleted.

Incoming lead submissions are treated differently: the core platform is designed not to persist them in an Inquiry Form lead database. Copies delivered to a customer's email, WhatsApp, CRM, or other systems are subject to that customer's and those providers' retention practices.

9. Logo and uploaded business materials

Customers may upload a logo and enter other business information for use in their form. These materials may be stored and processed as necessary to let the customer configure and preview the form and for Inquiry Form to host, maintain, and support it. Customers should provide only materials they are authorized to use.

10. Security

Inquiry Form uses reasonable administrative and technical safeguards appropriate to the service, including server-side controls for private functions and efforts to limit unnecessary storage of incoming lead data. No internet transmission, email system, messaging service, payment system, or storage environment can be guaranteed to be completely secure.

11. Privacy choices and requests

Depending on applicable law and the circumstances, individuals may have rights relating to access, correction, deletion, or other handling of their personal information. Requests concerning information held directly by Inquiry Form can be submitted through the general contact section on the main website and should clearly identify the request as a privacy matter.

If a request concerns an inquiry that has already been delivered to a separate business through its configured email or WhatsApp destination, the requester may also need to contact that receiving business because Inquiry Form is designed not to retain the lead submission in its own lead database.

12. International use

Inquiry Form may serve businesses and visitors in different countries. Privacy, marketing, consent, and data-protection requirements vary by jurisdiction. A business using an Inquiry Form is responsible for ensuring that its questions, notices, consent mechanisms, communications, and downstream handling of received lead information comply with the laws and professional requirements that apply to it.

13. Children

The service is intended for business and commercial inquiry workflows and is not designed specifically for children. Customers should not configure forms to collect children's personal information unless doing so is appropriate and lawful for their service and jurisdiction.

14. Changes to this policy

This policy may be updated when the service or its information practices change. The current version will be posted on this page with its latest update date.

15. Contact

Questions, concerns, or privacy requests can be submitted through the general contact section on the Inquiry Form website. Please identify privacy-related messages as privacy inquiries.
